Secretary
The Secretary of the European Committee is responsible for taking care of the everyday business of the committee. This includes taking minutes during meetings, doing organizational and management tasks between meetings, and keeping members up to date on current ongoings. The Secretary will work very closely with the Executive Manager in running the committee. The Secretary and Executive Manager do not make decisions; they are neutral individuals who will guide the Committee through decision making where necessary and ensure all opinions are heard and all aspects of a problem are considered. The European Committee functions in English.
This position requires a minimum of 2-4 hours weekly, and often requires flexibility in that scheduling to keep on top of discussions occurring within the Committee. However 3-5 hours weekly would be beneficial for the growth of the Committee.
Key responsibilities:

Take minutes during Committee Meetings (currently every 3rd Sunday evening); create the agenda for each meeting with the Executive Manager and make minutes available to the committee

Facilitate productive discussion during meetings

Work with Executive Manager on drafting policies for committee editing and approval

Assist in hiring for and organization of the annual EQC where necessary

Maintain communication channels of the committee (Facebook, E-mail etc.)

Be capable of working within the organisational structure of a committee as well as working independently if required
Other considerations:

All Committee work is run through Google Docs; prior experience with this suite of web programs will be an asset

Prior organisational and/or secreterial experience is an asset

Spoken or written languages beyond English is an asset

Touch typing skills are not necessarily required but preferred
Treasurer
The Secretary of the European Committee is responsible for taking care of financial aspects of the Committee. This includes working alongside the Executive Manager and Secretary in establishing a working financial structure and maintaining the financial side of the committee, preparing bi-annual financial reports and presenting them to the committee as well as work with the organizing committee of the European Quidditch Cup in setting up the financial structure necessary for their work. The European Committee functions in English.
This position requires a minimum of 2-3 hours weekly.
Key responsibilities:

Maintain an accurate budget at all times

Prepare bi-annual financial reports and present them to the Committee conforming to any standards necessary to the official status of the Committee

Present financial reports to the Financial Director of the IQA alongside the Executive Manager

Approve and monitor all expenditures from the Committee's account
A successful applicant will:

Have previous financial management experience

Be familiar with the management of a bank account

Communicate professionally and respectfully

Have excellent oral and written English communication skills
